Agencies are responsible for storage of their own information assets until the information assets can be legally disposed of by destruction or transferred to State Records’ custody.
State Records has entered into a Deed with the following Approved Service Providers (ASP) for storage, retrieval and destruction services of information assets.
The Deed only permits these companies to store sentenced, temporary information assets with ASPs.

Storing Permanent or Unsentenced Information Assets at an ASP
The Deed does not permit ASPs to store permanent or unsentenced information assets, unless an exemption is sought from State Records first.
This can be done by emailing a completed Approval to store permanent information assets with an ASP form or Approval to store unsentenced information assets with an ASP form to State Records.
Previously, permanent information assets could be stored with an APS without prior approval from State Records under a Global Exemption to the Deed. The Global Exemption was revoked on X January 2024.
