The Transfer of Official Records Standard requires government agencies and local councils to transfer permanent records to State Records' custody when the records are no longer administratively used.

Agencies wishing to store records not currently in administrative use with an ASP should request an exemption/transfer postponement by completing the Approval to store permanent records with an ASP form and emailing it to Staterecords@sa.gov.au.

IMPORTANT: The Global Exemption that enabled agencies to store permanent records with an ASP without applying to State Records for a postponement or exemption was revoked on 19 April 2024.

Permanent information assets currently in administrative use

Records in current administrative use will not be accepted for transfer to State Records unless there are exceptional circumstances.

Contact the Archival Services team for more information on what qualifies as an exceptional circumstance.

Unsentenced information assets

Agencies wishing to store unsentenced information assets with ASPs should request an exemption by completing the Approval to store unsentenced information assets with an ASP form and emailing to Staterecords@sa.gov.au.
