The FOI Application Data Collation Spreadsheet for 2023-24 is now available.

This spreadsheet helps capture and summarise FOI application activity and helps fulfill reporting requirements as per Section 52 of the Freedom of Information Act 1991.

Active FOI applications from the previous financial year's spreadsheet will need to be transferred the new spreadsheet.  See our transferring applications work instruction for more information.

The 2023-24 version of the spreadsheet includes some improvements:

  • A new column has been added to the Access, Amendment and IR sheets where an agency or sub-agency can be recorded.  In addition to this, we've added a new tab where the Reporting Summary can be filtered by the agencies or sub-agencies recorded in the other tabs.
  • A new column has been added that calculates the "Final date to notify applicant of Extension".
  • The outcome "Refused" has been renamed "Refused/Rejected".
  • The "New determination due date" and "Determination status" columns now default to blank until the relevant data is entered.
  • The green highlighting of active applications is now removed when the Determination Date AND an Outcome is recorded.

Agencies that choose not to use the FOI Application Data Collation spreadsheet must ensure they have captured and are able to provide accurate application information when the annual report data is requested.  This data is described in the FOI Annual Reporting Guideline.

A new spreadsheet is required for each financial year.
