Management of Official Records in a Business System
Management of official records in electronic format is becoming increasingly complex and State Records actively promotes the adoption of EDRMS or similar technologies for managing electronic records. However, many agencies operate business systems that do not appropriately manage the official records they generate.
To address this problem State Records has published the standards Management of Official Records in a Business System and the Functional Specification for Records in a Business System.
Agency adoption of these Standards will reduce the likelihood of loss or inadvertent destruction of official records, and ensure their long-term preservation and access.
Technical Requirements for the Scanning of Official Records
State Records has developed an advice sheet to assist agencies with the scanning of source records. The advice sheet includes the minimum format and resolution requirements for the scanning of permanent and long term temporary records to archival quality. Direct web address for the State Records' Collection Catalogue
Access to the web site for the State Records' collection catalogue has just been simplified. You are now able to click or type www.catalogue.archives.sa.gov.au and be directed straight to the catalogue's front page. The word 'catalogue' has been added within State Records' usual web address.
The State Records Council has recently approved Version 2 of GDS 24 for Universities of South Australia (effective from 11 October 2011 until 30 June 2020).
